Patriotism & Patchwork Quilt Show
November 19th & 20th, 2010Hours: Friday 9 am - 5 pm & Saturday 9 am - 4 pm International Showmen's Association 6915 Riverview Drive, Riverview, FL Over 100 judged quilts, boutique, vendors, quilt appraiser, small quilt auction to benefit Athena House of Tampa, "Chinese Auction", etc. Free parking, food on premises. Buses welcome.
QUILT SHOW COMMITTEES
REGISTRATION: 1) Design entry form, print and distribute to guild members
2) Determine due date for receiving quilts
3) Maintain record of quilts
4) Assign numbers to quilts according to category
5) Arrange for storage of quilts for judging prior to show
6) Work with set-up committee to determine placement of quilts
7) Maintain accurate lists of items returned and person returned to
SET-UP: 1) Determine layout for show
2) Work with registration committee to receive and hang quilts at the venue
TAKE-DOWN:
1) Take down quilts at conclusion of show
2) Organize return tables for picking up of quilts by members
3) Take down and return all display items
AWARDS: 1) Determine type of award ribbon to be given
2) Decide whether to buy or make awards and determine cost
3) Work with judge and set-up committee to place ribbons on winning quilts
4) Design and print viewer’s choice award ballots
5) Collect and count ballots
6) Work with show chairperson and guild president to present viewer’s choice award(s)
VOLUNTEER: 1) Arrange and maintain list of volunteers for days of show
2) Work with other committees to determine any extra needed volunteers for specific areas
3) Work as “docents” throughout show for attendees
ADVERTISING: 1) Compile list of potential advertisers for programs
2) Prepare and send letter to potential advertisers
3) Receive advertisements and collect monies. Direct monies to treasurer.
4) Work with program committee to place advertisements
PUBLICITY: 1) Compile list of publications, newspapers, magazines and web sites with due dates for notices
2) Design publicity materials (fliers and bookmarks)
3) Submit ads and notices at the appropriate time
4) Send notices to area guilds, quilt stores and other organizations
5) Create cover letter to accompany publicity materials
PROGRAMS: 1) Design program booklet and determine number needed for show
2) Work with Registration Committee to place descriptions of Quilts appropriately
3) Work with Advertising Committee to place ads
4) Arrange for printing of program
5) Arrange for pick-up and delivery of program prior to show
RAFFLE BASKETS: 1) Compile list of potential donors
2) Collect and organize all donations
3) Create baskets
4) Arrange display of baskets at show venue
SIGNAGE AND PARKING: 1) Design signs for entrance to Show
2) Place signs in strategic areas prior to Show
3) Design and place signs to be used throughout venue; ex.: Boutique, Small Quilt Auction, etc.
4) Determine needs for parking during show for vendors, volunteers, attendees
5) Organize volunteers to assist with parking
PRESIDENT’S TABLE: 1) Determine design and set-up of President’s Table
2) Arrange to have membership information and handouts at table
3) Organize display of charitable causes Guild participates in
4) ; Sell tickets for Opportunity Quilt
ATTENDANCE/ADMISSIONS: 1) Run admission table, collect admission fees
2) Arrange for cash boxes
3) Pass out programs
BOUTIQUE: 1) Decide on projects
2) Organize workshops to make items to sell
3) Solicit donations of supplies
4) Price items
5) Set up tables and area for boutique
6) Arrange for sales people and cashiers
SMALL QUILT AUCTION: 1) Determine guidelines & announce to guild members
2) Organize display & auction sheets at show
3) Announce winners, collect money & distribute quilts
VENDORS: 1) Contact possible vendors
2) Prepare and send contracts
3) Provide tables and other equipment for vendors
